What file formats are needed for preparing files for our printing press?

To ensure the highest quality for your printed materials, it is important to prepare your files in the correct format. Here are the recommended file formats for prepping files for the printing press:

  • PDF (Portable Document Format)
Preferred Format: PDF is the industry standard for printing due to its ability to embed fonts, images, and other elements.
High Resolution: Ensure your PDF is saved at a high resolution (300 DPI) for optimal print quality.
Bleed and Crop Marks: Include bleed (usually 0.125 inches) and crop marks to ensure accurate trimming.
  • AI (Adobe Illustrator)
Vector Graphics: AI files are ideal for logos, illustrations, and other vector-based graphics.
Editable: Keep text as editable text and ensure all fonts are either embedded or outlined.
  • EPS (Encapsulated PostScript)
Scalable: EPS files maintain high quality at any size, making them great for logos and detailed graphics.
Vector Format: Like AI files, EPS files should have fonts embedded or converted to outlines.
  • TIFF (Tagged Image File Format)
High Quality: TIFF files are used for high-quality images and photographs.
Uncompressed: Save files in an uncompressed format to preserve detail and quality.
  • JPEG (Joint Photographic Experts Group)
High Resolution: Use high-resolution JPEGs (300 DPI) for photos and images.
Compression: Be mindful of compression settings to avoid losing image quality.
  • INDD (Adobe InDesign)
Layout Files: INDD files are ideal for complex layouts, including brochures, booklets, and magazines.
Package Files: Use the “Package” feature to collect all fonts, images, and links used in the document.
  • Canva (PDF)
Click the download button on the top bar
Click the file type drop down and select PDF Print from the drop down
Click the crop and bleed check box

What are additional tips for preparing files for printing?

Additional Tips for Preparing Files:

Color Mode: Ensure your files are in CMYK color mode, as this is the standard for printing. RGB files may not print accurately.
Fonts: Embed all fonts or convert them to outlines to avoid font substitution issues.
Resolution: All images should be at least 300 DPI to ensure they print clearly without pixelation.
Bleed: Include a bleed area of at least 0.125 inches to ensure there are no white edges after trimming.
File Size: Compress files appropriately to manage size without sacrificing quality, especially for email or file transfer.
By following these guidelines and using the recommended file formats, you can ensure your print materials are prepared correctly and meet the highest quality standards. If you have any questions or need assistance, our team at Executive Printing is here to help!

Why do I need to send files with bleeds?

Bleeds guarantee that the design extends all the way to the edge of the paper, providing full coverage without any gaps. Bleeds contribute to a seamless and professional appearance, with designs, images, and colors extending to the edge of the printed piece. They ensure that the finished product looks polished and maintains consistent quality across all copies. Bleeds act as a safety margin, accommodating any minor inaccuracies in the trimming process.

How do I set up bleeds?

Standard Bleed Size: Typically, a bleed of 0.125 inches (3 mm) is added to each side of the design. This means the total dimensions of the document will be 0.25 inches (6 mm) larger in both width and height than the final trim size.

Design Considerations: Ensure all background images, colors, and design elements that touch the edge of the page extend into the bleed area.

Crop Marks: Include crop marks to indicate where the document should be trimmed to the final size.

By including bleeds in your design files, you ensure a high-quality, professional finished product that meets the standards of precision required for printing. If you need assistance with setting up your design files with bleeds, our team at Executive Printing is here to help!

Image Source: Use images from reliable sources, such as professional photographers or high-quality stock photo websites.

Resolution Check: Ensure images are at least 300 DPI for print. Check the resolution before incorporating them into your design.
